Submission Guidelines

Guide For Authors

Author Instructions

Submissions must demonstrate a relevance to the conference technical tracks detailed here. Submissions from both industry and academia are strongly encouraged as are papers focused on practical work.
The ISSC Steering Committee takes the protection of intellectual property very seriously. Submitted papers must be original and not be considered elsewhere for publication. Overlaps with previously published or simultaneously submitted papers, from any of the authors, should be clearly documented in the manuscript. By submitting your work, you agree to allow it to be screened for plagiarism. ISSC 2025 will be a strictly in-person conference (i.e., there will be no virtual/remote participation), and papers that are not presented in person by one of the authors will not be published as part of the conference proceedings.

Submission Instructions (max. 8 pages)

Prospective authors are invited to initially submit their work as a fully formatted manuscript. Full-length submissions must be at most eight A4 pages in standard IEEE A4 two-column format, including text, figures, tables, references and appendices. For the final submission, papers over 6 pages will be charged €100 per extra page up to a maximum of two extra pages (8 pages maximum).
All author names and affiliations should be removed from the initial submission for review purposes. The submission process is double-blind.

Papers must be submitted via the online submission system https://issc2025.exordo.com.  Subject to the conference requirements for registration and attendance, and IEEE requirements (including authorship), accepted papers will be submitted for inclusion into IEEE Xplore subject to meeting IEEE Xplore’s scope and quality requirements.

IEEE conference templates

(https://www.ieee.org/conferences/publishing/templates.html) contain guidance text for composing and formatting conference papers. Please ensure that all guidance text is removed from your conference paper prior to submission to the conference.

All submissions are expected to present the prior state-of-the-art in the field and clearly discuss the paper’s significant and novel contributions. This can include evaluations of the current state of the art in which novel insights are presented.

Formatting and Language

The IEEE templates, as well as formatting instructions are available at https://www.ieee.org/conferences/publishing/templates.html
All submissions must be written in English.

Mandatory Author Registration

At least one author of each accepted paper is required to register for and attend the conference to have his/her paper published in the conference proceedings.  The presenter must register at the appropriate author rate no later than the camera ready date.  Presenters who fail to register by this date will be removed from the programme.

Review and Indexing

All submissions will be subject to IEEE requirements (including authorship). All submissions will be treated as confidential communications during their review, and thus submission does not constitute public disclosure of any ideas therein.

Papers may be desk rejected by the Programme Committee — i.e. rejected before entering the detailed review process — if it is felt that the submission is out of the conference’s scope, written using poor English language that precludes effective communication, does not follow manuscript formatting guidelines, or is otherwise not appropriate.

All the decisions obtained via the review process are either (conditional) acceptances or rejections. Conditionally acceptances will stipulate required changes for final acceptance. Effectively addressing these requirements in the final submission of a paper is essential, and is the authors’ responsibility to adequately document in a response letter how the reviewers’ feedback was adequately addressed. Such responses will be at the disposal of the reviewers. The decisions of the conference chairs is final, discussion will not be entered into. Decision as to the format of the final presentation will be made by the chairs. Formats for presentation will be either oral or poster. This format of presentation will be communicated to you at the time of acceptance of the paper/poster.

All decisions are final.
Accepted papers will be submitted to the IEEE Xplore Digital Library for publication and indexing subject to IEEE requirements.

Poster Presentation Instructions for ISSC 2025

Authors must print their own poster prior to attending the conference, no printing facilities will be available on site. Posters that do not follow the ISSC 2025 template will not be included.
Each poster will be provided with enough space to hold a Vertical poster. A0 size is suggested, which measures:  46.8 in (H) x 33.1 in (W).

Presentation & Poster Templates

You are required to use the conference template to prepare your poster or paper. If you do not use the conference template or do not provide the work in advance you may not be allowed to present on the day. This will result in your paper being withdrawn from the conference proceedings. The template for the poster will be made available shortly. All work included in the papers, presentations and posters should be available to be recorded, streamed or photographed as per the conference requirements.
Exceptions will not be made. All work must be emailed to the programme chair by the camera ready date.
Changes will not be accepted after the camera ready date.

IEEE Guidelines on AI-Generated Text

The use of artificial intelligence (AI)–generated text in an article shall be disclosed in the acknowledgements section of any paper submitted to an IEEE Conference or Periodical. The sections of the paper that use AI-generated text shall have a citation to the AI system used to generate the text. In the ISSC will also require the exact prompt(s) used to generate the text to be included in the appendices. The ISSC may also make a decision on acceptance based on the overreliance on generated text.

Accepted authors are requested to complete the following 5 tasks:

Task 1:

We require that you submit your final "Camera-Ready" paper in order to be considered for inclusion in the conference proceedings. All camera-ready papers will be published by IEEE eXpress Conference Publishing in the conference proceedings and IEEE Xplore Digital Library.

1. If you have not already done so, you can log on to the Ex Ordo system and view your review comments:  https://issc2025.exordo.com You should take these comments into account when preparing your final camera-ready paper.

2. Please ensure that your final paper adheres to the guidelines as provided by the IEEE (https://www.ieee.org/conferences/publishing/templates.html).

3. Please proof read your final paper thoroughly to confirm no revision is required, including but not limited to:

  • Check your paper for spelling/grammatical mistakes.

  • Avoid using ALL CAPITALS in your paper title.

  • Paper should be 6 pages long. Any page over 6 pages will be charged EUR 90 per page up to a maximum of two extra pages.

4. You must add the relevant copyright clearance code to the bottom of the first page of the final document. The appropriate copyright clearance code notice is to appear on the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at: /publications/rights/index.html

Task 2:

Assign Copyright to the IEEE

Copyright is collected through IEEE electronic copyright form and is done on the final accepted papers only. Authors will be provided with a link to an electronic copyright form at the last step in paper submission on the Ex Ordo system. Papers will not be published by the IEEE if the copyright assignment is not completed or if terms in the authorship guidelines are violated.

Task 3:

Check Your Title, Abstract and Author Details

When submitting your final camera-ready paper, you will be prompted to check the title, abstract and author details of your paper. Please check that the details included in the paper match the details on the online form exactly. Please also check that the "presenting author" is correctly identified. This is the author that will attend the conference in June.

Task 4:

Upload your video presentation files by 1st June

All presenting authors are required to create a video presentation to replace the live presentation they would have done on site. Please follow the steps indicted via the presentations tab in Exordo. Instructions and guidance are provided by Exordo on how to create your presentation. Full paper presentations have a maximum of 12 minutes to present their work. Poster presentations will be 2 minutes in duration. The created video should contain slides and audio. These videos must be uploaded by June 1st and will be shown during an allotted time slot. Due to the volume of presentations, the tight schedule and the challenges of reliable connectivity, the committee have decided that only pre-recorded presentations are allowed. The will be NO live paper presentations at ISSC 2020.

NOTE: Advice from Exordo on creating your video presentations: https://support.exordo.com/category/903-pre-recorded-videos
